Piper Fire Protection is seeking an Administrative Assistant/Receptionist

Currently, we have an open position for an Administrative Assistant/Receptionist. Successful candidates will have excellent customer service and must be outcome-oriented. The ability to work in a fast paced environment with strong attention to detail is essential.

Work Environment/Job Conditions

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Applicants should expect to sit for extended periods of time.

The administrative assistant takes on a number of roles including, but not limited to, filing, invoicing, answering inbound phone calls, and sorting documents. Administrative assistants are expected to check and respond to emails, update, replace and combine files, and fix any filing errors they may encounter. This position also requires the employee to answer and transfer a number of calls to the correct departments throughout the day. Administrative assistants are also expected to be able to prepare and mail invoices to clients. This includes comparing documents for accuracy, stuffing and sealing envelopes, and applying the correct postage. On a monthly basis, administrative assistants may also be required to prepare and mail statements.

  • Exceptional customer service skills, over the phone and in person, with our customers and internal departments
  • Reviewing/answering emails
  • Ability to perform invoicing
  • Provide general administrative and clerical support including mailing, scanning, faxing and copying to management
  • Open, sort and distribute incoming correspondence
  • Maintain electronic and hard copy filing systems

 

Education and/or experience

  • High school diploma or equivalent
  • 2 or more years of office/clerical work
  • Fluent in Microsoft Office and Outlook
  • Excellent verbal and written communication skills
